How to Share Word Documents Securely

Choose a reviewable or fixed Word-document copy and share it with suitable access controls.

To share a Word document securely, first decide whether the recipient should edit, suggest changes, or simply read a final copy. Then prepare the right version and choose permissions that match that task.

An editable DOCX and a final PDF serve different purposes. Treating them as interchangeable can expose internal revisions or prevent the reviewer from giving the feedback you need.

1. Choose the recipient's job

Start with the action you expect after sharing.

Edit wording with your teamShared editable Word fileEditing permission is intentional
Suggest revisionsReview or commenting workflowSuggestions can be captured

A browser viewer does not automatically offer native Word editing. Check the selected service's actual capabilities before asking recipients to make changes.

2. Prepare a separate sharing copy

Keep the working document and create a reviewed copy for external sharing. Resolve the changes you intend to accept or reject, and remove comments that do not belong in the recipient version.

Hiding markup changes how the document looks; it is not the same as resolving the revisions. Inspect the actual sharing copy. Microsoft's Document Inspector guidance recommends inspecting a copy because some removals cannot be restored. Microsoft: Inspect documents, presentations and workbooks

Check:

  • Tracked changes and comments.
  • Document properties and author details.
  • Headers, footers and client names.
  • Embedded material and links.
  • The final filename and version label.

Do not remove information the recipient needs merely to make the file look cleaner.

3. Choose permissions deliberately

For collaboration, use the relevant Microsoft 365 sharing workflow or another approved editor. Microsoft's Word review documentation describes edit, review, and view roles, while noting that underlying permissions can affect behavior. Microsoft: Review mode in Word

For controlled external viewing, a document sharing tool may be more suitable. SendNow lists DOCX support but excludes the older DOC format. SendNow: Supported formats and limits Save a compatible copy if necessary.

View-only access is not the same as providing a sanitized original. If downloads are allowed, recipients may obtain the DOCX with content not obvious in a rendered preview.

4. Verify the recipient copy and downloaded original

Open the link using the intended recipient permissions. Check that the document displays correctly and that the recipient can perform the expected action.

If a DOCX download is enabled, download a test copy and open it in Word. Inspect that file as well as the browser view. This helps catch material hidden by a preview but retained in the original.

For a fixed final copy, inspect the exported PDF before uploading it. Confirm page breaks, tables, numbering, and fonts. A format conversion can alter layout, so the export itself needs review.

5. Send clear review or reading instructions

Tell the recipient what kind of copy they received.

For review:

Please review the attached scope through this link and add suggestions by Thursday. Focus on deliverables and responsibilities; the pricing section is already approved.

For a final copy:

Here is the approved version for your records. Please let me know if you have questions about the next steps.

Do not call a document 'final' while still collecting changes through the same uncontrolled workflow. Keep ownership of approval clear.

When something goes wrong

If the recipient cannot edit, check whether you sent a viewer link rather than an editing link. If they can edit unexpectedly, review both link permissions and any permissions they already have through the folder or library.

If formatting differs, compare the recipient's environment and the source file. Offer a reviewed PDF for reading while retaining the Word file for the people who actually need editing access.

Frequently asked questions

No. Resolve the changes in the sharing copy and inspect it. Display settings alone are not evidence that revision content has been removed.

Use DOCX when editing or reuse is required. A reviewed PDF is often more appropriate for a fixed reading copy. Verify whichever output you choose.

That depends on the platform's download and access behavior. Test the actual link rather than relying only on its label.

Before you share

Choose the version, format, and permissions as one decision. The right sharing copy lets the recipient complete the task without exposing unrelated working material.
