How to Update a Shared PDF

Replace an outdated PDF while checking link continuity, recipient access, and version-specific analytics.

To update a PDF you have already shared, use your hosting service's replacement or versioning workflow and verify that the existing recipient link opens the new file. Uploading a second PDF does not necessarily update the first link.

Before changing anything, check whether the original must remain available as a signed, approved, or historical record. A convenient replacement is not always the right action.

1. Decide whether to replace or issue a new version

A corrected phone number and a materially changed agreement deserve different handling. Keep a record of what changed and who needs to know.

SituationSensible actionWhy
Minor correction in an unsigned proposalConsider replacementKeeps the recipient's working link current
Revised price or scopeNotify readers clearlyThey need to recognize the change
Signed or approved documentPreserve the recordThe approval belongs to a particular version
Separate deliverableCreate a separate resourceAvoid replacing the wrong document

These are record-management recommendations. Follow your organization's approval process where it applies.

2. Prepare and compare the replacement

Save the revised PDF as a separate local file. Keep the original until the update has been checked. Add a clear revision label inside the PDF when the change matters to readers.

Compare both copies:

  • Did only the intended sections change?
  • Are the page count and page order correct?
  • Do links still work?
  • Did any confidential information appear?
  • Does the new version need a different access policy?

For a proposal, a short change note might say: 'Revision 2 updates the delivery schedule; the scope remains the same.' This is an illustrative template, not a description of an actual customer document.

3. Check the platform's replacement rules

Business reports on a laptop

SendNow's replacement documentation describes opening the link's edit page, finding Replace File, and uploading a file of the same format. It identifies Business eligibility, a signed-NDA restriction, and a replacement allowance. It also says linked resources referring to that file switch together. SendNow: Swap the file behind a link

Check those conditions before proceeding. If the file is used in several client links or collections, the update may affect more recipients than the one you had in mind. If replacement is unavailable, create a new resource and communicate the new link instead of trying to bypass the restriction.

Hands typing beside office files

Keep a copy of the original recipient URL before updating. Use the supported replacement action, wait for processing, and open that same URL in a fresh session.

Verify a visible change, such as the revision label or corrected date. Checking only the filename is weaker evidence because the viewer may retain a display name.

Record the outcome:

CheckExpected result
Original recipient URLOpens successfully
Revision labelMatches the new PDF
Access settingsStill match the intended audience
Downloaded copy, if enabledContains the revised file
Other linked collectionsShow the correct document

This is a checklist to perform, not a claim that these tests have already been executed.

5. Tell readers what changed

Colleagues reviewing a document together

A stable link should not hide a material revision. Send a concise note that identifies the update and any action required.

I have updated the proposal at the same link. Revision 2 changes the implementation schedule on page 4. Please use this version for your review.

Readers who already downloaded the old PDF still have that copy. Replacing the hosted file does not update files saved on their devices. If the old version could cause confusion, explicitly ask them to use the current link.

Interpret analytics after an update

Retaining a URL does not mean every recorded visit belongs to the latest content. Check the analytics documentation for how versions are separated or aggregated. SendNow's page-engagement help describes a version selector for version-specific review. SendNow: Page-by-page engagement

Do not compare page numbers across revisions without checking whether the content moved. A pricing page that shifted from page 4 to page 5 is still the same topic, but its number changed.

Frequently asked questions

It can remain the same when the platform supports replacement behind that resource. Verify the exact original URL after updating; do not infer continuity from a successful upload.

SendNow documents a replacement restriction after an NDA has been signed. Preserve the original and follow the service's supported process for a new document.

Do not assume a restore option exists. Keep local version copies and check the platform's version or recovery features before making a consequential change.

Before you share

A successful update preserves the intended access path, shows the correct revision, and makes important changes visible to readers. Keep both the document history and the recipient's experience in view.
