Remove Tracked Changes Before Sharing
Review and resolve Word revisions and comments before releasing an approved external copy.

A Word document can look clean while still carrying tracked revisions and review comments. Hiding markup changes the view; it does not necessarily remove the underlying review information.
Keep the review original and produce a separate approved release copy. The goal is to share the intended final text without losing the private history your team needs to retain.
1. Preserve the original and establish approval

Save the working review document in its authorized location before cleaning anything. Name the release copy clearly so it cannot be confused with the negotiation or editing record.
Ask the document owner which revisions have been approved. Accepting every change is a content decision, not a cosmetic shortcut. If a clause or figure is unresolved, return it for approval rather than making the document appear final.
| Item | Keep privately | Resolve for the release |
|---|---|---|
| Review original | Comments and revision history | Do not distribute by mistake |
| Proposed edits | Approval context | Accept or reject as instructed |
| External copy | Approved final text | Inspect before upload |
| Release record | Owner and version | Identify the exact file shared |
This process applies to proposals, reports and other reviewed documents; contract wording decisions remain with the responsible owner.
2. Resolve revisions instead of hiding them
In Word, use the Review tools to accept or reject the intended changes. Microsoft explicitly distinguishes the No Markup display from removal of tracked changes. Review each change or use a bulk operation only when the owner has approved all affected revisions. Microsoft: Accept or reject tracked changes
Check filters so you are not reviewing only one author's changes while others remain. After resolving the approved set, inspect the document with markup visible again.
Turning tracking off prevents further tracked edits under that setting; it does not by itself remove the earlier changes. If additional edits are needed, manage them as a new review cycle rather than quietly altering the approved release.
3. Remove release comments deliberately

Read unresolved comments before deleting them. A comment may point to an unanswered question that should stop publication. Keep necessary discussion in the private review original.
Use the document's comment deletion tools for the release copy once the owner approves. Merely resolving or hiding a discussion should not be treated as proof that its data is absent from the file.
Inspect headings, footnotes, headers, tables and text outside the main narrative. A review note in a table can be as revealing as one in the body. Recheck the result after saving and reopening, since the released file is what recipients will receive.
4. Inspect other hidden information

Run the supported document inspection workflow on the release copy and review its findings. Microsoft provides Document Inspector guidance for hidden data and personal information; availability and options vary across applications and versions. Microsoft: Inspect documents and presentations
Consider the actual release requirements before removing an item. An author field may be inappropriate for one disclosure and required for another. Keep records of intentional removals when your process requires them.
Inspect the visible content separately. A metadata cleanup does not remove a client name typed in the body, a screenshot containing private details or confidential numbers that were never marked for review.
5. Verify the exact file and shared preview

Open the saved release copy, inspect its final text and check for remaining revisions or comments using the available review tools. Compare critical figures and clauses against the approved version.
If you export a PDF, inspect that output as a separate release. Check page breaks, tables, accessibility requirements and whether markup was included by the export settings. A clean PDF does not automatically clean the source DOCX.
Upload only the approved copy and verify the recipient preview. Confirm the listing or link points to that version rather than an older marked-up upload. Keep the release identifier in the handover message.
Frequently asked questions
Does No Markup remove tracked changes?
No. It hides their display. Resolve the actual revisions through the review tools and verify the saved release copy.
Should I accept all changes automatically?
Only when the owner has approved every affected revision. Otherwise review them individually or return unresolved material for a decision.
Does making a PDF clean the Word original?
No. They are separate files. Inspect both outputs that will be shared, and retain the private review original under the appropriate policy.
Before you share
Share when the release text is approved, unwanted revisions and comments are removed from that copy, and the exact uploaded version has been checked. Keep the review original private.
