Client Document Request Kit

Ask clearly, track missing files, and accept the right documents.

For: Consultants, accountants, agencies and client service teams

Documents, notebook and laptop
TL;DR: what to do
  • Ask for the exact document, reporting period and acceptable format so the client can identify the right file.
  • Mark a file Accepted only after its period, completeness, readability and access have been checked.
  • Request a September replacement when August was supplied; do not resend the entire document list.
  • Close each required item with acceptance or an approved exception that names the next owner and date.

01 / Practical guide

Ask for a document the client can identify

Specify the document, entity, period, format and deadline before asking the client to send anything.

A client document request should describe an item precisely enough that the recipient can find the correct file without another call. Start with the purpose of your work, then list only the documents needed for that purpose. “Send your financial documents” leaves the recipient to choose the account, reporting period and format. “Send the September statement for the business operating account, including every page” gives them a usable instruction.

  • Specify the reporting period
  • Name the document reviewer
  • Check every received file
  • Follow up on outstanding items only
  • Record approved exceptions

Write one request per item. Include the document name, entity, date range, acceptable format, deadline and delivery method. If an alternative is acceptable, explain it before the client spends time producing something unnecessary. A current export might work for one engagement while another requires the original issued document. The person reviewing the file should decide that requirement.

Choose a contact who can coordinate the request. That person does not have to create every document personally. Give them enough context to route the request to finance, operations or an authorised adviser. Avoid asking a whole team to own the same missing item: shared responsibility can leave nobody accountable.

Use the blank request template below. Replace every bracket before sending. If the list is long, group related items and identify which ones block work first. Do not manufacture urgency; state the genuine dependency and offer a way to flag unavailable items.

Track receipt separately from acceptance

Use separate receipt and acceptance states to keep unusable files visible.

A received file may still be unusable. It can cover the wrong period, omit pages, be unreadable or require permission the reviewer does not have. Use distinct statuses: Requested, Received, Under review, Accepted, Replacement needed and Not applicable. Accepted means the nominated reviewer checked the item against the request; it does not mean the document is accurate in every legal or financial respect.

Keep a stable request ID when a replacement arrives. Add the replacement reference and update the review issue rather than creating an unrelated second request. This makes the history understandable and avoids reminding a client about an item already supplied. Review new arrivals before preparing the next reminder.

For each file, check the requested entity, period, completeness, readability and access. Record a short, factual issue: “September requested; August supplied” is better than “incorrect.” Avoid copying account numbers or personal information into a general-purpose tracker. Store actual documents in your approved workspace, with access suitable for the engagement.

In the fictional example, three requests are at different stages. REQ-02 needs no reminder. REQ-01 needs a replacement, not another generic request. REQ-03 is still outstanding. That distinction lets you send one helpful message naming the exact remaining work.

Follow up without asking for everything again

Name only missing or rejected items in your next reminder.

A useful follow-up confirms what has been accepted and names only the remaining items. Include the original requirement and explain what is wrong with an unusable submission. The client should not have to reconstruct an earlier conversation to understand the request. Avoid attaching confidential examples from other clients.

Ask for a revised date when a document cannot be provided. If an item genuinely does not exist, record that explanation and send it to the reviewer for an alternative decision. Do not turn “not available” into “not applicable” without approval. Those statuses answer different questions.

Agree a sensible reminder cadence with the client. A looming filing date may justify a different schedule from a routine planning exercise. There is no universal interval that works for every engagement. Escalate to the named coordinator when missing information blocks agreed work, and explain the consequence rather than sending repeated vague nudges.

Close the request only after review. Where a deadline changes, update the tracker and tell the affected owner. Keep the message calm: the goal is to obtain usable information, not to score the client’s responsiveness. A specific replacement request often saves more time than a longer explanation of why document collection matters.

Use the templates in your existing workflow

Copy the request wording and maintain a separate tracker for each client engagement.

Download the blank worksheet, or copy the message template into your usual email editor. This kit does not upload documents, send messages or verify submissions automatically. The worksheet is a working record; you still need a person to check the documents and change the status.

Before using the template, remove sample rows, set the correct period and agree who will review each request. Keep a client-facing list separate from internal review notes if the notes contain sensitive observations. Do not give one client access to a tracker containing other clients’ details.

The completion check is simple: every required item is accepted, explicitly deferred with an owner and date, or approved as not applicable. Received alone is not a final state. If work proceeds with a missing item, record who approved the exception and what limitation remains.

For recurring engagements, duplicate the blank template for the next period. Keep previous-period records intact instead of overwriting them. Update the period in both the request and the tracker so an old document is not accidentally treated as current. Reuse the structure; reconsider the scope each time.

Quick answers and your next step

Start with three real requests and confirm who will review each arrival.

What belongs in a document request email?

Include the purpose, specific items, required period, accepted format, due date, submission instructions and contact for questions. If the request is sensitive, agree the delivery route before asking the client to send files.

How do I handle an incomplete document?

Describe the missing pages or period, retain the original request ID and mark Replacement needed. A file that arrived should remain visible in the history, even when it is not accepted.

Should I request everything at onboarding?

Request what is needed for the current work. Explain later-stage items separately so the client can prioritise. Collecting unrelated information creates extra review and storage work.

Can this kit replace a client portal?

No. It provides request wording and a review structure. It does not authenticate recipients, store files, enforce permissions or provide an audit trail of system events.

What should I do first?

Fill three real requests into the blank worksheet, name a reviewer and send one complete request. After the first arrivals, check whether your instructions produced the right documents. Improve those instructions before expanding the list.
